Who we are
Asgard Tyres is a mobile tyre fitting business based in Maidstone, Kent. We are the “data controller” for the personal information described on this page. You can contact us about anything here at info@asgardtyres.co.uk or on 07739 939628.
What we collect
We only collect what we need to quote for, carry out and invoice your work:
- Your name, phone number, email address and postcode or address — so we can contact you and come to your vehicle.
- Your vehicle registration, make and model, tyre sizes and mileage — so we fit the right tyres and can keep a record of the work.
- Details of the jobs we do for you, quotes, bookings, invoices and payments.
- If you create an account: your login details (your password is stored scrambled and we can never read it), your saved vehicles, and any reminder dates you choose to add such as MOT, tax or insurance renewal.
- For business and fleet accounts: your company name, VAT number and billing address.
- If you send us a review request reply, a quote request or an email: whatever you choose to include.
Why we use it, and our legal basis
- To do the work you asked for — quoting, booking, fitting, invoicing and taking payment. Legal basis: performing a contract with you.
- To keep proper business records — invoices, VAT and payment records are kept for the period HMRC requires (six years from the end of the relevant financial year). Legal basis: legal obligation.
- To keep you informed — booking confirmations, a reminder on the day of your appointment, invoices and, if an invoice is unpaid, reminders. Legal basis: performing a contract with you.
- Optional reminders — MOT, road tax and insurance renewal reminders, only if you add those dates to your account. Legal basis: consent; remove the dates at any time to stop them.
- A single review request — after a completed, paid job we may email you once to ask for a Google review. Legal basis: legitimate interests; every account has an opt-out and we never ask twice for the same job.
- Safety and security — protecting accounts, preventing fraud, and keeping the record of work such as the wheel re-torque advice printed on every invoice. Legal basis: legitimate interests.
Vehicle lookups
When you give us a registration number we may look it up with the DVLA and the DVSA (the government vehicle and MOT databases) to confirm the make, model, MOT expiry and tax due date. This uses only the registration number and is the same information a garage would check.
Who we share it with
We never sell your information. We share it only with the services we use to run the business, and only what each one needs:
- Stripe — card payments. Your card details go directly to Stripe; we never see or store your full card number.
- Resend — sends our emails (confirmations, invoices, reminders).
- Vercel and Supabase — host the website and the database it runs on, in secure data centres (Supabase for this site is in London).
- Google — Maps, to work out the distance to your postcode for the call-out charge; and Analytics, only if you accept analytics cookies (see below).
- DVLA / DVSA — vehicle and MOT lookups, as described above.
- Our accountant and HMRC — invoice and VAT records, as the law requires.
We may also share information when the law requires it, for example with the police or a court.
How long we keep it
- Invoices, payments and the job records behind them: six years after the end of the financial year, as required by HMRC.
- Your account and saved vehicles: for as long as you keep the account. If you delete a vehicle or your account we keep a copy of the work history only for the period above, then it is deleted.
- Quote requests that do not turn into a job: kept so we can follow up if you come back to us, and deleted on request.
- Website error logs: 30 days.
Your rights
Under UK data protection law you can ask us to:
- Tell you what information we hold about you, and give you a copy.
- Correct anything that is wrong — account holders can edit most details themselves.
- Delete your information, where we are not legally required to keep it (invoice records must be kept for HMRC).
- Stop using it for a particular purpose, such as reminders or review requests.
- Send it to you or another business in a common format.
Email info@asgardtyres.co.uk and we will reply within one month. If you are unhappy with how we handle your information you can complain to the Information Commissioner’s Office at ico.org.uk, though we would rather you told us first so we can put it right.
